Job Description

PURPOSE:

A growing Real Estate company based in East London, seeks to employ a Finance & Administration Manager. The primary focus of the role is to report on financial performance, prepare financial year end for
auditors, maintain control measures, lead compliance, prevent fraud and support the Principal/Director. The role is Hybrid, but the successful candidate will be required to be based in East London to be in the office when required. The role also requires the successful candidate to take a lead in terms of staff and branch management, both from a financial and overall perspective, while still working closely and reporting into the Director. 

 

MINIMUM REQUIREMENTS:

  • Grade 12 / Matric
  • BCom / Diploma in Accounting
  • 5+ years' experience in a similar role
  • Completed articles (advantageous)

 

RESPONSIBILITIES:

  • Prepare and submit monthly returns EMP201,VAT201, U-filing
  • Prepare and submit biannual returns EMP501
  • Prepare and submit annual returns CIPC, Return of earnings
  • Prepare and ensure annual membership renewals for IEASA and EAAB are carried out for agency and its agent
  • Liaise with auditors and assist with year end and EAAB audit in March/ April
  • Keep income tax record saved for Audit submissions
  • Reconcile bank accounts at weeks end
  • Accurate invoicing and debt collection
  • Pay monthly and ad hoc creditors
  • Record cash transactions
  • Prepare transfers for income tax, VAT and PAYE savings monthly
  • Keep an up-to-date trial balance for issue of management accounts to the principal by 10th of each month
  • Reconcile and control IRP5recon and leave applications and leave register
  • Issue commissions sheets with the payslip to staff
  • Maintain employee electronic and hard copy personnel files, including change of addresses
  • Share updated employment contract and job descriptions as required by the principal
  • Keep and make updates to the Company Guidelines document
  • Keep and make updates to IT policy document
  • Assist with the damages claims made by the agency
  • Update and reconcile staff loan accounts, keep Principal updated
  • Prepare Written and support to principal for Disciplinary action
  • Prepare performance review and agent performance analysis
  • Place all orders and control purchase request and processing
  • Review and negotiate supplier service level agreement contracts
  • Monitor employee time sheets ( if applicable)
  • Review internal forms such as COVID19 employee self -assessments submitted by the company receptionists
  • Manage and control hardcopy archives for all deal files, using Tidyfiles
  • Update and maintain electronic folders on network per internal archiving procedures

  • Assist office manager with the opening and closing offices
  • Manage and control storeroom and stock for stationery & Marketing
  • Assist with the setup and management of CRM systems (online task managers)
  • Issue reports from winded and TPN
  • Comply with FICA requirements and POPI act respectively
